Office Relocation Tips: How to Move Without Losing a Working Day

An office move handled badly costs your business money and momentum. Here's how to plan a commercial relocation in the Midlands that your team barely notices.

Move on a Friday Evening or Over the Weekend

The most important decision in any office relocation is timing. Moving during business hours disrupts your team, your clients and your operations. The professionals who move offices well almost always do it Friday evening into Saturday, so Monday morning the new space is live and operational. It costs the same — and saves you an enormous amount of disruption.

Create a Detailed Floor Plan of the New Office

Before a single item is loaded, produce a floor plan showing where every desk, workstation and piece of furniture is going in the new space. Number or label desks to match the plan. Share it with both your team and your removal company. This eliminates the "where does this go?" conversations that add hours to a move.

Tag IT Equipment Per Person

Every monitor, tower, dock and peripheral should be labelled with the desk number it belongs to. Photograph each workstation setup before it's dismantled. When the crew delivers to the new premises, it goes straight to the right desk — no IT triage session needed.

Don't Move Confidential Documents Loose

Filing cabinets, HR folders, financial records — these should be in locked cabinets or sealed boxes with a named custodian. Don't leave confidential material loose on a moving van. A responsible removal company will flag this, but it's ultimately the business's responsibility to ensure sensitive documents are appropriately secured in transit.

Communicate With Your Team Early

People don't love surprises when it comes to where they're going to be working. Give the team as much notice as possible, share the floor plan, and communicate clearly about timing. A move that the team is prepared for lands far better than one that arrives as a fait accompli.

Do a Pre-Move Site Survey

A good commercial removal company will want to visit both sites before the job. This isn't box-ticking — it's how they identify access issues, plan the vehicle size, estimate the crew needed and spot potential problems before moving day. If a company is happy to quote and book without seeing the premises, be cautious.
